Robert Half Administrative Coordinator in Rochester, New York

Description

Sweepstake Management:

  • Oversee the planning, execution, and fulfillment of sweepstakes and promotions, ensuring compliance with legal and regulatory requirements.

  • Develop official rules and entry guidelines for each sweepstake, working closely with legal counsel to ensure accuracy and compliance.

  • Coordinate prize procurement, including sourcing, purchasing, and tracking prizes within budgetary constraints.

  • Manage communication with sweepstake winners, including notification, verification, and prize distribution.

Administrative Support:

  • Provide administrative support to senior management and team members, including calendar management, travel arrangements, and expense reporting.

  • Maintain organized filing systems for documents related to sweepstakes, contracts, and correspondence.

  • Prepare and distribute internal and external communications, such as memos, emails, and reports.

  • Assist with event planning and coordination, including logistics, vendor management, and attendee communication.

Data Management:

  • Collect, organize, and analyze data related to sweepstakes performance, including entry metrics, engagement levels, and prize redemption rates.

  • Generate reports and insights to inform future sweepstakes strategies and optimize promotional efforts.

  • Maintain accurate records of sweepstakes participants, entries, and winners, ensuring data privacy and security.

    Requirements

  • Bachelor's degree in business administration, marketing, or a related field.

  • 2+ years of experience in administrative support roles, with a focus on sweepstakes or promotions preferred.

  • Knowledge of sweepstakes regulations, including FTC guidelines, state-specific laws, and platform policies (e.g., social media).

  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • Excellent written and verbal communication skills, with a high level of professionalism and attention to detail.

  • Proficiency in Microsoft Office Suite and database management tools.

  • Ability to work independently with minimal supervision and collaborate effectively in a team environment.
