Job Overview:

We are seeking a highly organized and detail-oriented individual to join our team as an HVAC Dispatcher. In this role, you will be responsible for coordinating the scheduling and dispatching of HVAC service technicians to customer locations. The ideal candidate will possess excellent communication skills, be able to multitask effectively, and thrive in a fast-paced environment.

Responsibilities:

  • Scheduling: Coordinate the scheduling of HVAC service calls and maintenance appointments according to customer needs and technician availability.

  • Dispatching: Assign service requests to appropriate technicians based on their skillset, location, and workload.

  • Communication: Serve as the primary point of contact for customers, technicians, and other team members regarding service requests, updates, and scheduling changes.

  • Priority Management: Assess the urgency of service requests and prioritize dispatching accordingly, ensuring timely responses to emergencies.

  • Documentation: Maintain accurate records of service calls, including customer information, technician assignments, and job status updates.

  • Routing: Efficiently plan technician routes to minimize travel time and maximize productivity.

  • Customer Service: Provide exceptional customer service by addressing inquiries, resolving issues, and ensuring customer satisfaction throughout the service process.

  • Problem-solving: Anticipate and resolve scheduling conflicts, equipment shortages, and other logistical challenges to ensure smooth operations.

  • Team Collaboration: Collaborate with other departments, such as sales and maintenance, to coordinate service activities and support overall business objectives.

    Requirements

  • Experience: Previous experience in a dispatching or customer service role, preferably in the HVAC or related industry.

  • Technical Knowledge: Basic understanding of HVAC systems and terminology is preferred but not required.

  • Organizational Skills: Strong organizational and time-management skills with the ability to prioritize tasks effectively.

  • Communication: Excellent verbal and written communication skills, with the ability to interact professionally with customers and team members.

  • Problem-solving: Proven ability to think critically, make decisions under pressure, and resolve issues efficiently.

  • Computer Skills: Proficiency in using scheduling software, Microsoft Office Suite, and other relevant computer programs.

  • Adaptability: Ability to adapt to changing priorities and work effectively in a dynamic environment.

  • Team Player: Demonstrated ability to work collaboratively with a diverse team to achieve common goals.
