Robert Half Event Coordinator in San Antonio, Texas

Description

Our client is looking for a contract Event Coordinator. This role will be a minimum of 3-6 months in duration, minimum of 25/hrs a week, hybrid 3x in Windcrest (San Antonio). This person should be available for evenings/weekends incase of events/showings

• Assists in all areas of park operations surrounding the reservation facilities and their associated grounds.

• Meets with potential renters and shows the facilities.

• Locks and unlocks the facilities as needed and is responsible for the keys to those buildings.

• Participates in the setup and cleanup of rental facilities including moving tables and chairs, sweeping, mopping, and other janitorial duties.

• Attends to the needs of renters before, during, and after the rental period.

• Enforces and performs work in accordance with established City and State standards and rules.

• On-site point of contact for all events held at the Civic Center and city special events.

• Facilitates operations of events and responds to emergencies, in coordination with the Windcrest Police Department, Fire Department, and the Emergency Management Team, to include but not limited to problems, etc.; ensures assigned aspects of events are implemented and controlled according to plans.

• Assists users of facilities by providing requirements in regard to technical, security, and/or other requirements; assists in problem resolution and answers questions.

• Maintains accurate and up‐to‐date records and files for all events prior to, during and after each event as required by State Retention Records guidelines.

• Complete necessary correspondence and other communications in rentals and follow up process.

• Maintain a well-informed working knowledge of all facilities, attractions, and services in the City of Windcrest area available for customer’s needs and act as a liaison between the public and facility as needed.

• Follow-up/Close out after each reservation/event to ensure proper cleaning and damage is reported of the facility.

• Assist with event step up and break down duties as directed by director of Public Works such as preparing for events and other duties as assigned.

• Compile post event wrap up reports to include but not limited to evaluation of rental, damage reports, cost calculations, lessons learned and overall evaluations.

• Provide support for the special events and festivals to include planning, administrative support, and coordination of select projects, special events, fundraising initiatives for the city, and any other responsibilities deemed appropriate;

• Supports, in coordination with Public Works, volunteers for city sponsored events.

• Adheres to assigned work schedule as outlined in the Department and City attendance policies and procedures; ensures all behaviors comply with the City’s Personnel Rules and Regulations.

• Helps support an equitable, safe, diverse, and inclusive workplace.

• Perform other duties as assigned.
