Robert Half Administrative Assistant in San Diego, California

Description

Our client, a leader in the Health Pharm/Biotech industry, located in San Diego, CA, is offering a short term contract employment opportunity for an Administrative Assistant. This role primarily provides high-level administrative support in a healthcare setting, handling tasks such as conducting research, managing information requests, and performing clerical functions.

Responsibilities:

• Conduct research and handle information requests efficiently

• Perform general office duties including maintaining records management systems and performing basic bookkeeping work

• Prepare and manage documents such as invoices, reports, memos, letters, and financial statements

• File and retrieve corporate documents, records, and reports as required

• Handle incoming correspondence including faxes and emails, sorting and distributing them accordingly

• Prepare responses to correspondence containing routing inquiries

• Utilize computer applications such as Microsoft Word, Excel, and PowerPoint efficiently for administrative tasks

• Manage time effectively and work independently, while keeping information organized and confidential

• Provide customer service and display strong interpersonal skills in interactions with customers

• Perform clerical duties, including distributing faxes and preparing invoices and responses.

Requirements • Possession of strong customer service skills

• Excellent communication abilities, both written and verbal

• Proficiency in managing office functions and understanding of office procedures

• Experience in documentation and record keeping

• Proficiency in Microsoft Excel, Microsoft Word, and Microsoft PowerPoint

• Ability to conduct research and prepare comprehensive reports

• Knowledge of the software 'About Time' for time tracking and management

• Capability to handle correspondence and clerical duties effectively

• Experience in preparing financial statements

• Demonstrated interpersonal skills for effective team collaboration

• Experience in distributing faxes and managing other communication channels

• Proficiency in different computer programs relevant to administrative work

• Basic understanding of bookkeeping principles

• Ability to prepare invoices and responses to queries effectively

• Experience in records management, ensuring accuracy and confidentiality

• Understanding of the C-Suite level operations and ability to liaise effectively

• Proven ability to conduct tasks requiring conductivity, such as transferring information or signals.

• Ability to handle sensitive information with discretion and maintain confidentiality.
