ased in the vibrant city of San Diego, we are seeking a highly organized and proactive Executive Assistant to support our senior leadership team and ensure the smooth operation of our executive offices.The Executive Assistant will provide comprehensive administrative support to our senior executives, managing their schedules, communications, and various projects. The ideal candidate will have exceptional organizational skills, a high degree of professionalism, and the ability to handle sensitive information with discretion.

Key Responsibilities:

  • Schedule Management: Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.

  • Communication: Handle incoming and outgoing communications on behalf of executives, including emails, phone calls, and correspondence.

  • Meeting Preparation: Prepare agendas, materials, and presentations for meetings; take minutes and follow up on action items.

  • Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and itineraries.

  • Document Management: Organize and maintain confidential files and documents, ensuring they are easily accessible.

  • Project Support: Assist with special projects and initiatives, providing administrative and logistical support.

  • Event Planning: Coordinate company events, meetings, and conferences, including logistics and catering.

  • Expense Management: Track and reconcile executive expenses and prepare expense reports.

  • Liaison: Act as a liaison between executives and internal/external stakeholders, ensuring clear and timely communication.

  • Office Management: Oversee office operations and assist with facilities management as needed.

    Requirements

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.

  • Experience: Minimum of 3-5 years of experience as an Executive Assistant or in a similar role, preferably in a tech company.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • High level of discretion and confidentiality.

  • Ability to work independently and as part of a team.

  • Familiarity with project management software and tools is a plus.
