Robert Half Front Desk Coordinator in San Diego, California

Description We are offering a contract to hire employment opportunity for a Front Desk Coordinator in the Investment Management industry, based in San Diego, California. This role requires the individual to manage a variety of front desk tasks, including running errands, managing light phone calls, and handling a high volume of foot traffic. The position also involves customer service, being the face of the firm, checking in guests, and maintaining the organization of the firm.

Responsibilities:

• Managing the front desk and ensuring a smooth operation of the firm.

• Handling light phone calls and directing them to the appropriate parties.

• Managing foot traffic and ensuring guests are comfortable.

• Providing excellent customer service to guests and clients.

• Representing the firm with a positive disposition.

• Checking in guests and ensuring their needs are met.

• Coordinating team lunches and maintaining office supplies.

• Learning and managing maintenance systems and facilities.

• Using Outlook for scheduling and managing meetings.

• Demonstrating proficiency in software such as Outlook, MS Word, and Excel.

• Performing receptionist duties, email correspondence, and scheduling tasks as required.

• Being proactive and organized in managing tasks and responsibilities. Requirements • Minimum of 1 year experience in a Front Desk Coordinator role or similar position

• Proven skills in Receptionist Duties including managing incoming calls and visitor traffic

• Demonstrated ability in Scheduling, including managing appointments and calendars

• Proficiency in Email Correspondence, including managing professional emails and communication

• Excellent Customer Service skills, with a focus on providing a positive experience for all visitors and callers

• Must be able to handle sensitive information with the highest degree of integrity and confidentiality

• Ability to work independently, as well as part of a team

• Excellent organizational skills with attention to detail

• Strong communication and interpersonal skills

• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook

• Willingness to learn and adapt in a fast-paced environment

• Ability to handle multiple tasks and prioritize work effectively

• High School Diploma or equivalent required. Further education in Business Administration or related field is a plus.
