Description
Our client, a well-established HVAC company, is seeking a reliable and detail-oriented Payroll Specialist to join their team. The Payroll Specialist will play a critical role in managing payroll functions, ensuring timely and accurate compensation for employees across the organization.
The Payroll Specialist will be responsible for overseeing the company’s payroll processes, including ensuring accurate timekeeping, calculating wages, processing deductions, and ensuring compliance with state and federal payroll regulations. The role requires strong organizational skills, a deep understanding of payroll systems, and a proactive approach to problem-solving.
Key Responsibilities:
Process bi-weekly or monthly payroll for employees, ensuring accuracy in wage calculations, benefits deductions, and overtime.
Maintain up-to-date employee records, including tax forms, direct deposit information, and benefit enrollments.
Review and verify employee timesheets and attendance records for accuracy.
Ensure compliance with all federal, state, and local payroll laws and regulations.
Respond to employee payroll inquiries, providing timely and clear information regarding pay, deductions, and benefits.
Coordinate payroll-related tasks with HR, including new hires, terminations, and salary changes.
Prepare and submit payroll taxes, including federal and state tax filings, and ensure timely payments to authorities.
Prepare payroll reports for management and accounting, assisting with month-end close and year-end reporting.
Stay updated on changes to payroll laws, tax regulations, and benefits compliance.
Requirements
Associate’s or Bachelor’s degree in Accounting, Finance, Business, or a related field (or equivalent experience).
2+ years of experience in payroll processing, preferably within the HVAC or construction industry.
Proficiency with payroll software (e.g., ADP, Paychex, or similar) and Microsoft Excel.
Strong understanding of payroll-related laws, tax regulations, and benefit structures.
High attention to detail with the ability to handle confidential information with discretion.
Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Excellent communication skills and ability to work effectively with employees at all levels.
Preferred Qualifications:
Experience working in the HVAC or skilled trades industry.
Knowledge of union payroll processes, if applicable.
Familiarity with benefit administration and 401(k) plans.
