Robert Half Senior Administrative Assistant in San Diego, California

Description

Our client, a respected non-profit organization based in the heart of San Diego, CA. They are committed to making a positive impact in the community and fostering a collaborative and inclusive work environment. Our client is seeking a highly organized and proactive Senior Administrative Assistant to support their executive team and organizational operations. The ideal candidate will be detail-oriented, resourceful, and capable of managing a diverse range of tasks. This role requires excellent communication skills, the ability to maintain confidentiality, and the capacity to work effectively in a fast-paced environment.

Key Responsibilities

  • Provide comprehensive administrative support to executive team members, including calendar management, travel arrangements, and meeting coordination.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Handle confidential information with discretion and professionalism.

  • Serve as a liaison between executives and internal/external stakeholders.

  • Coordinate and manage special projects and events as assigned by the executive team.

  • Assist with board meeting preparation, including agendas, minutes, and follow-up actions.

  • Conduct research and compile data to support executive decision-making.

  • Manage and prioritize multiple tasks and deadlines in a rapidly changing environment.

  • Support fundraising and donor relations activities, including tracking donations and preparing acknowledgment letters.

  • Maintain organized records and files, both electronic and paper.

    Requirements

Qualifications

  • Bachelor's degree or equivalent experience preferred.

  • Minimum of 5 years of experience as an administrative assistant or in a similar role, preferably in a non-profit organization.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication skills.

  • Ability to work independently and as part of a team.

  • High level of integrity and discretion in handling confidential information.

  • Ability to adapt quickly to changing priorities and demands.

  • Experience with donor management software and non-profit administration is a plus.
