Description

Our client is seeking an experienced and highly organized Senior Administrative Assistant to provide comprehensive administrative support to their executive team. The ideal candidate will be detail-oriented, proactive, and capable of handling a wide range of administrative tasks efficiently. This role requires excellent communication skills, strong organizational abilities, and a commitment to supporting the mission of the organization.

Key Responsibilities

  • Provide high-level administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.

  • Prepare, edit, and distribute correspondence, reports, presentations, and other documents.

  • Organize and maintain electronic and paper filing systems, ensuring confidentiality and security of sensitive information.

  • Coordinate and support board meetings, including preparing agendas, taking minutes, and distributing materials.

  • Assist with the planning and execution of events and special projects.

  • Handle incoming calls, emails, and other communications, directing inquiries to appropriate staff members.

  • Maintain office supplies and equipment, and manage relationships with vendors.

  • Conduct research and compile data for reports and presentations.

  • Support the executive team with personal administrative tasks as needed.

  • Ensure compliance with organizational policies and procedures.

    Requirements

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.

  • Minimum of 5 years of experience in an administrative support role, with at least 2 years supporting senior executives.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication skills.

  • Ability to work independently and as part of a team.

  • High level of integrity and discretion in handling confidential information.

  • Ability to adapt quickly to changing priorities and demands.

  • Strong problem-solving skills and attention to detail.
