Description
We are seeking a diligent Facilities Assistant to join our team in San Francisco, California, 94103, United States. As a Facilities Assistant, you will be the first point of contact for residents and guests, providing assistance and information as needed. You will also be responsible for handling various service requests, assisting in maintenance tasks, managing documentation, and ensuring compliance with brand standards.
Responsibilities
• Assist in addressing service requests promptly and according to brand standards.
• Communicate effectively with residents, scheduling appointments and managing maintenance files.
• Engage with purchasing processes to achieve cost efficiencies.
• Function as a welcoming point of contact for residents and guests, providing necessary assistance and information.
• Maintain a broad understanding of building services, amenities, and operations.
• Support processes such as preventative maintenance, on-site purchasing, and inspections.
• Update and manage maintenance and environmental documentation, including extermination logs and fire safety inspections.
• Notify the supervisor about resident issues or concerns.
• Perform additional duties as assigned while maintaining a detail-oriented demeanor.
• Ensure adherence to brand standards and expectations.

Requirements • Proficiency in using Computerized Maintenance Management Systems (CMMS) for facilities management
• Familiarity with Concur for managing expenses and invoices
• Experience with Kronos Timekeeping System for managing employee time records
• Knowledge of various management systems for efficient task coordination
• Ability to use 'About Time' for mobile time tracking and management
• Understanding of budget processes for cost-effective operations
• Excellent communication skills for effective interaction with team members and other stakeholders
• Experience in managing conference rooms including scheduling and setup
• Strong customer service skills for addressing and resolving issues
• Proficiency in Microsoft Excel for data management and analysis
