Robert Half Legal Secretary in San Francisco, California

Description

Reputable San Francisco firm is in search of an Estate Planning Legal Secretary to join their team on a hybrid remote basis. This role is crucial, as it involves providing comprehensive support for attorneys, from drafting and proofreading documents to managing client and court interactions.

Responsibilities:

• Carry out the editing and proofreading of various estate planning and trust administration documents

• Assist in the drafting of estate planning documents, including trusts, wills, and powers of attorney

• Coordinate and manage administrative tasks for client projects including mailing and filing

• Facilitate meetings, client calls, and maintain attorney's calendars

• Obtain EINs and assist executor/trustee with the collection, valuation, and distribution of assets

• Handle database management of all relevant documents and routine document filing

• Assist in client estate planning signing appointments as needed

• Handle notary services and coordinate with the records and conflicts departments in the opening and closing of matters

• Prepare physical and electronic estate planning and transaction binders for clients

• Assist in drafting and recording of real property transfer documents including deeds, preliminary changes of ownership, and transfer tax affidavits

• Manage the filing of federal tax documents and probate court documents.

Requirements • Proficiency in Estate Planning.

• Certification as a Notary Public.

• Ability to accurately log Time Entries.

• Experience in Probate & Estate Administration.

• Excellent Proofreading skills.

• Knowledge and experience in Trusts and Estates.

• Proficient in using legal software and Microsoft Office Suite.

• Strong verbal and written communication skills.

• Ability to work under pressure and meet deadlines.

• High level of discretion to maintain confidentiality of sensitive information.

• Strong organizational skills and ability to prioritize tasks.

• Attention to detail and accuracy.

• Previous experience in a similar role is preferred.

• Bachelor's degree in a related field is advantageous.
