Description

  • Supervise preparation of periodic financial, operating and audit reports as well as the management of all financial functions.

  • Work collaboratively with accountant and bookkeeper to carry out the full cycle of accounting duties for the organization. Including accurate completion of annual compliance filings and reports.

  • Work with Program Manager to oversee and coordinate retail operations, sales, and venue rentals.

  • Collaborate with ED, Development Director, and Grant Writers to develop budgets, Managing Director 6/13/24 prepare grant reports, and strategies to increase funding and revenue.

  • Ensure the physical security of files and records, whether stored in hard copy or electronically, to protect the confidentiality of records and the privacy of the information contained in them.

  • Interface with the CAE Cultural Facilities Manager and Department of Public Works (DPW) personnel, vendors and contractors. Manage relationships for the procurement of services, equipment and supplies. Follow up on compliance requirements, e.g., facility permits, insurance, compliance certificates.

  • Ensure staff compliance with environmental, security, and health standards: Ensure the building is clean, stocked, and presentable; Establish, implement and maintain an effective injury and illness prevention program (IIPP), including emergency response, e.g., fire, earthquake, etc.; Oversee security and building access. Maintain keys, safety and security equipment; Develop and maintain physical inventory of equipment, tools and supplies. Ensure proper use, storage, maintenance, disposal/recycling of all equipment, tools and supplies.

  • Help to maintain inventory of assets, and ensure historical archival materials are safely and securely stored.

  • Ensure gallery prep for installation and deinstallation. Safely move exhibitions, art, equipment, furniture, etc., as needed.

  • Coordinate move from its current location. Oversee cost projections, space needs and logistics for establishing and maintaining an off-site space and other storage space needs.

  • With ED, recruit employees. Orient and oversee the work and schedules of direct reports, and provide advice and direction. Conduct feedback and performance evaluations that are timely and constructive; provide or coordinate mandatory trainings; process hire and termination procedures.

  • Onboard new employees and provide cross functional team training.

  • Identify and manage training and development needs for employees.

  • Develop and implement human resources policies and procedures.

  • Support ED in developing compensation and benefit packages.

  • Maintain human resource policies and procedures.

  • Ensure compensation and benefits are in line with agency policies and legislation.

  • Handle employee complaints, grievances, and disputes. • Administer employee discipline processes.

  • Review and update employee rules and regulations.

  • Organize and manage staff team building activities.

  • Protect company when hiring independent contractors by correctly identifying; ensure follow through on written contracts/SOW.

Requirements

KEYS:

  • Non-profit industry experience

  • Accounting/finance & HR experience

  • Capacity to understand financials & provide oversight (they have an outsourced accountant & internal part time Bookkeeper)

  • Understanding of HR policies (they have outsourced consultants dedicated to HR, but need to understand administration)

  • Management experience

  • Bilingual in English & Spanish
