Robert Half is working with a leading technology company in San Mateo. Our client will be hiring in the New Year and I looking to have a pipeline of candidates starting now. Our client is committed to providing innovative technology solutions to their clients, and we they are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support their dynamic team.
Job Summary:
The Administrative Assistant will play a critical role in ensuring the smooth day-to-day operations of the office and assisting in the management of administrative tasks within the company. The ideal candidate will be detail-focused, have strong communication skills, and possess a high level of organizational proficiency.
Key Responsibilities:
Manage and maintain calendars, appointments, and travel arrangements for the leadership team.
Coordinate meetings, conferences, and events, ensuring all logistics are handled efficiently.
Handle incoming phone calls, emails, and correspondence, ensuring appropriate responses are timely and professional.
Prepare and proofread documents, presentations, and reports for the management team.
Organize office supplies and ensure the office is well-stocked and orderly.
Assist with onboarding new employees and provide necessary administrative support.
Maintain and update office filing systems, both physical and digital.
Support the finance department with basic invoicing and expense tracking.
Assist in coordinating company projects, tracking deadlines, and helping with project documentation.
Act as a point of contact for office maintenance, vendors, and service providers.
Requirements
Required Qualifications:
High school diploma or equivalent; Bachelor’s degree preferred.
2+ years of experience in an administrative role, ideally within the technology industry.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication skills.
Ability to work independently and as part of a team in a fast-paced environment.
Detail-oriented and able to manage multiple priorities effectively.
Professional demeanor and ability to maintain confidentiality.
