Position Summary

The successful candidate will provide broad administrative support to the CEO and the VP IR/Corporate Communications. He/She will handle details of a highly confidential and critical nature, collect and prepare information for use in discussions/meetings of executive staff internal personnel and external contacts as well as prepare presentation materials for Board of Directors? meetings and investor meetings. The successful candidate will make high-level contacts of a sensitive nature inside and outside the company and exercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions. He/She will work with senior level executives within and outside the company including investors, bankers, venture capitalists, collaborators, vendors, and visitors.

Responsibilities

The successful candidate will have responsibilities for:

  • Providing highly detail oriented administrative support to the CEO.

  • Independent collecting, organizing, analyzing and presenting materials for assigned projects and in support of CEO?s requirements.

  • Managing all incoming communication (phones, e-mail, correspondence).

  • Managing CEO?s calendar, scheduling and meeting preparation.

  • Preparing complex and detail oriented presentations for a variety of internal and external meetings.

  • Correspondence with various internal and external contacts.

  • Coordination and scheduling of extensive travel arrangements.

  • Acting as a liaison with the Board of Directors and investors.

  • Handling a variety of special projects.

  • Creating and maintaining files, records, contact lists and databases to ensure the smooth operation of the CEO?s office.

Qualifications: This position requires the following knowledge and experience:

  • BA degree is preferred.

  • 10 plus years administrative experience, with 5-7 years supporting a CEO

  • Strong work ethic and self-motivation.

  • Proven ability to work with little direction and within a team.

  • Proven ability to thrive in a fast-paced intense environment.

  • Ability to recognize urgency and establish priorities appropriately.

  • Ability to work under tight and changing time constraints including meeting deadlines.

  • Ability to handle multiple projects at one time (multi-tasking).

  • Superior organizational skills and an extreme attention to detail.

  • Superior communication skills including a sense of humor.

  • Proven ability to work well with various personalities.

  • Strong computer skills, including proficiency in PowerPoint, Excel, Word, Outlook, Access or other database applications.
