Description OfficeTeam is looking for an Executive Assistant to assist one of our top client's in Redwood City. Our client is a well-known construction company in the Bay Area. This is a potential temporary to full-time opportunity that has great benefits if hired on full-time. You must have at least 3 or more years of experience supporting a C-Level Executive or a VP.
Job Duties: Manage calendar (Outlook), meetings, and appointments Schedule internal and external meetings, conference calls, and other events, taking into account frequent changes and constant reprioritization Manage calendar according to business and personal priorities, ensuring all appropriate parties are aware of itinerary and making sure that all changes are seamlessly integrated regardless of timeframes Remind Executive of subsequent appointments periodically throughout the day Manage the Executives travel arrangements, including personal trips Create itineraries and verify that Executive has on his person all necessary documents and information, such as airline boarding passes, hotel reservation details, rental car confirmations, etc. Maintain contacts (Outlook) and business card binders Add new contacts when requested by the CEO Make accurate and complete transcriptions of all voice mail messages for the CEO twice every day (late morning and late afternoon) Draft correspondence; write letters of various types, using creativity and imagination to expand on Executives verbal description of contents Process mail; open mail, including personal invoices and correspondence, and sort out by type and urgency Coordinate all aspects of social events including preparing guest lists, invitations, managing responses, organizing venues, food, valet, entertainment, give away, etc. Requirements Ideal Profile: Minimum three years supporting a senior manager (or secretarial/administrative position with similar responsibilities) Intermediate to advanced level in Microsoft Office Applications (Word, Excel and Outlook)Intermediate to advanced level understanding of digital images Knowledge Blackberry, iPad, and similar devices preferred Strong organizational skills, flexibility, and the ability to prioritize work assignments Extreme attention to detail detail oriented in both demeanor and appearance Discretion and maturity in the performance of duties of a highly confidential nature Talent for performing multiple tasks simultaneously, quickly, and accurately under pressure Capacity to manage stressful situations without allowing frustration to impact job performance Strong auditory memory (recall) and/or rapid and accurate note-taking skills While working as a contract employee through OfficeTeam, you will have access to benefits, be eligible for holiday pay and bonus pay, have access to complimentary online tutorials and can participate in our 401(k) program
