Description

As the Office Manager, you will play a pivotal role in ensuring the smooth operation of our office environment. This multifaceted role requires a combination of organizational, administrative, and interpersonal skills to oversee various aspects of office management, facilities coordination, and administrative support. You will serve as a central point of contact for employees, vendors, and visitors, contributing to the overall efficiency and effectiveness of our workplace.

Key Responsibilities:

Office Operations:

  • Oversee day-to-day office operations, including but not limited to managing office supplies, equipment, and facilities.

  • Develop and implement procedures and policies to optimize office efficiency and productivity.

  • Coordinate with external vendors, service providers, and contractors to ensure timely maintenance and repairs as needed.

Administrative Support:

  • Provide administrative support to executives and staff, including managing calendars, scheduling appointments, and organizing meetings.

  • Assist with travel arrangements, expense reporting, and other administrative tasks as needed.

  • Prepare and distribute internal communications, memos, and announcements.

Facilities Management:

  • Maintain a clean, safe, and organized office environment, overseeing cleaning services, waste management, and health and safety protocols.

  • Coordinate office layout and workspace assignments to optimize use of space and resources.

  • Manage office security systems, access control, and emergency preparedness plans.

Vendor Management:

  • Liaise with vendors, suppliers, and service providers to ensure timely delivery of goods and services.

  • Negotiate contracts, agreements, and pricing terms with vendors to achieve cost savings and quality standards.

  • Evaluate vendor performance and address any issues or concerns as needed.

Employee Support:

  • Serve as a point of contact for employees regarding office-related inquiries, requests, and concerns.

  • Coordinate employee onboarding and offboarding processes, including workspace setup, equipment provisioning, and access privileges.

  • Foster a positive and inclusive office culture by organizing team-building activities, events, and celebrations.

Records Management:

  • Maintain accurate and up-to-date records, files, and databases, ensuring confidentiality and compliance with data protection regulations.

  • Establish and maintain document management systems and procedures for efficient record-keeping and information retrieval.

    Requirements

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or related field preferred.

  • 2+ years of experience in office management, administrative support, or facilities coordination.

  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and office management software.

  • Strong organizational and multitasking abilities, with attention to detail and accuracy.

  • Excellent communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.

  • Proven problem-solving skills and ability to take initiative in addressing office-related challenges.

  • Knowledge of office equipment, facilities management best practices, and health and safety regulations.

  • Ability to work independently with minimal supervision and collaborate effectively in a team environment.
