Robert Half Executive Assistant in Santa Fe Springs, California

Description We are offering an opportunity for an Executive Assistant in the Wholesale Distribution industry, located in Santa Fe Springs, California. This role involves providing high-level support to the CEO, CFO, and other VPs within the organization. Employed on a long-term contract basis, the Executive Assistant will be responsible for a variety of administrative and organizational tasks to ensure smooth operations within the executive suite.

Responsibilities:

• Coordinate and manage the schedules of multiple executives, including arranging meetings, conference calls, and travel plans.

• Prepare, draft, and edit important documents, presentations, and reports for the leadership team.

• Handle a high volume of email correspondence, prioritizing urgent matters, and managing executive inboxes.

• Organize and prepare for meetings, setting agendas, taking minutes, and following up on action items.

• Coordinate domestic and international travel itineraries, accommodations, and logistics for the executive team.

• Assist in maintaining an organized office environment and support various administrative tasks as needed.

• Manage customer credit applications accurately and efficiently.

• Maintain accurate customer credit records.

• Handle sensitive information with discretion and professionalism.

• Utilize various software and systems such as ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, and About Time for various tasks.

• Employ strong skills in Calendar Management, Communication, Conference Calls, and Correspondence to effectively execute the role. Requirements • Candidate must have proficiency in ADP - Financial Services

• Proficient in using Cisco Webex Meetings for virtual meetings and team collaboration

• Knowledge of Concur for managing expenses and invoices

• Experience in using CRM for managing the company's relationships and interactions with customers

• Familiarity with Kronos Timekeeping System for managing employee time and attendance

• Ability to use About Time for mobile resource management

• Strong Calendar Management skills to handle all appointments and scheduling

• Excellent Communication skills for interacting with clients and colleagues

• Comfortable with hosting and managing Conference Calls

• Ability to handle professional Correspondence in a timely manner

• Experienced in coordinating and managing Executive Meetings.
