We are looking for a dedicated and efficient Front Office Operations Specialist to join our team in Santa Maria, California. This role involves managing all facets of our daily operations, from overseeing office maintenance to ensuring an organized workspace. The successful candidate will provide administrative support, manage the front desk/reception operations, and maintain a positive work environment. This role offers a contract to hire employment opportunity.


• Oversee and manage all aspects of daily operations, including office maintenance, inventory management, and workspace organization

• Provide direct administrative support to management, including email correspondence and generating and distributing memos, letters, spreadsheets, and forms

• Serve as the first point of contact for employees, candidates, and vendors, managing front desk/reception operations and greeting guests who enter the office

• Perform general administrative tasks, including answering and directing phone calls, coordinating meeting agendas, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment

• Oversee and order office supplies and food deliveries for group meetings, anticipating requirements, stocking supply stations, and ensuring equipment is in working order

• Maintain workflow by analyzing and refining standard operating procedures, such as scheduling, communications, office layout, etc

• Plan, organize, and schedule company meetings occurring in the office, offsite, and via video conference

• Coordinate domestic and international travel arrangements for all levels of staff members and or guests

• Maintain contact database, employee list, and inventories up to date

• Respond quickly, professionally, and accurately to all emails from the management team and employees.

Requirements • Proficiency in answering and managing a multi-line phone system

• Strong customer service skills with a focus on providing a positive experience

• Ability to perform data entry tasks with a high level of accuracy and attention to detail

• Experience in managing email correspondence in a professional setting

• Excellent interpersonal skills with the ability to interact with a diverse range of individuals

• Proficiency in Microsoft Excel to manage and analyze data

• Proficiency in Microsoft Outlook for email management and scheduling

• Proficiency in Microsoft Word for creating and editing documents

• Experience in organizing files and maintaining a neat and efficient workspace

• Ability to schedule appointments and manage calendars effectively

• Proficiency in Spanish language, both written and verbal.
