Robert Half Administrative Assistant in Santa Monica, California

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Santa Monica, California. This role involves a variety of administrative tasks in a telecom provider setting. You will be a vital part of the team, handling both customer-facing duties and internal administrative tasks.

Responsibilities:

• Greet and welcome guests, managing check-in procedures and directing visitors to the appropriate personnel to ensure a positive first impression.

• Oversee shared meeting room calendars and coordinate front desk activities to ensure smooth operations.

• Handle incoming phone calls, screening and forwarding them while providing basic information as needed.

• Maintain an organized office environment, keeping the reception area, kitchen, and other common areas tidy.

• Assist in arranging weekly office meal orders and planning other meetings as requested.

• Manage office shipments and mail, including sending, receiving, and distributing.

• Operate the Video Teleconferencing (VTC) system to assist with meetings, liaising with the technology department for more complex needs.

• Assist the office with administrative duties as necessary and liaise with various teams to support the needs of the office.

• Assist with internal and external event coordination as necessary, including setup for quarterly board meetings.

• Handle I9 verification during onboarding of new employees in office.

• Use Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to perform data entry tasks, schedule appointments, and manage email correspondence.

• Demonstrate excellent customer service skills through answering inbound calls and managing inbound and outbound calls. Requirements • Proficiency in Microsoft Office Suite including Microsoft Word, Excel, PowerPoint, and Outlook

• Strong customer service skills and experience in a customer-facing role

• Experience in answering inbound calls and managing inbound/outbound calls

• Ability to handle data entry tasks with a high degree of accuracy

• Strong written communication skills for email correspondence

• Ability to manage and schedule appointments effectively

• Experience in an administrative assistant role or similar is preferred

• Ability to work in a fast-paced environment and prioritize tasks

• Excellent organizational skills and attention to detail

• Strong problem-solving skills and ability to take initiative

• High school diploma or equivalent education level required

• Professional verbal communication skills.
