Robert Half Executive Assistant in Seattle, Washington

Description We are offering a contract employment opportunity for an Executive Assistant in our Seattle office. This role will primarily involve providing comprehensive organizational support to our CEO and Executive Team, facilitating both internal and external communications, and coordinating various operational processes. This position will also involve calendar management, meeting coordination, and preparing presentations and reports.


• Assist the CEO and Executive Team with day-to-day operations, facilitating requests, and enhancing interdepartmental communication

• Plan and schedule meetings, conferences, and teleconferences, prioritizing appointments and ensuring seamless coordination of logistics

• Support and coordinate Executive Team meetings and events, working closely with People Operations for scheduling and planning

• Prepare detailed reports on status of assignments, projects, and general operations to keep the CEO informed at all times

• Plan business trips including travel logistics and agenda preparation to ensure successful outcomes

• Create spreadsheets, charts, PowerPoint presentations, and visual representations for meetings and presentations

• Facilitate workflow and communications between departments, vendors, and regional offices to support day-to-day administrative and operational processes

• Maintain office supplies inventory, ensuring organization and neatness of supply area

• Contribute to special projects and planning initiatives involving the Office of the CEO

• Provide general administrative support to the People Operations team, onsite event management, and maintain personnel files and documents

• Ensure the timely collection and distribution of office mail.

• Proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, About Time

• Experience in Calendar Management, Correspondence, C-Suite, Documentation, Daily Mail, Distribute Incoming Mail, Meeting Minutes, Scheduling management Requirements • Proficiency in using Concur for travel and expense management

• Experience with CRM systems for managing and analyzing customer interactions

• Expertise in Microsoft Excel for managing data, creating charts, and performing calculations

• Proficiency in Microsoft Office Suites for creating documents, presentations, and spreadsheets

• Experience in using Microsoft Outlook for managing emails and scheduling meetings

• Knowledge of 'About Time' software for mobile resource management

• Experience in Calendar Management for scheduling meetings and appointments

• Proficiency in managing Correspondence such as letters, emails, and memos

• Experience in supporting C-Suite executives

• Skills in Documentation for creating and maintaining records

• Experience in managing Daily Mail and Distributing Incoming Mail

• Proficiency in taking Meeting Minutes

• Experience in Scheduling Management for organizing and coordinating schedules.
