Where We Need You:

We are seeking an Executive Assistant to join our team

What You Can Expect:

As our Executive Assistant, you will provide exceptional support across a wide variety of operational and administrative tasks to maintain an efficient, organized, and effective office environment. Your key areas of responsibility include: Executive Support, Office Support & Communication, & Event Execution.

What Will Help You Be Successful:

  • Working effectively with senior leadership as well as all levels of staff & clients in a changing, fast-paced and service-oriented corporate environment and helping them to achieve business objectives.

  • Having excellent oral and written communication skills as well as interpersonal and organizational skills.

  • Utilizing your strong time management skills and your ability to coordinate and maintain follow-up on several projects simultaneously.

What You Will Be Doing:

Executive Support
  • Prepare and manage Time & Expense reports on behalf of executives.

  • Arrange travel for executives, including flights, hotels, and transportation.

  • Answer and screen incoming calls

  • Support executives and the other members of the management team in their workload by producing and proofreading reports, presentations, and/or proposals.

  • Manage executive’s Outlook (contacts, emails, and calendar/meetings).

  • Manage Salesforce data and reporting for executives.

  • Handle any printing/copying/faxing, binding, and mail.

  • Assist with client relationship management administration, including billing and contract management task

  • Take initiative to anticipate the needs of your executives on a daily basis.

  • Partner with Executive Assistant Team to provide back-up support to executives.

  • Support and model excellent service by exhibiting a positive attitude and enthusiasm toward the job and the company to both internal and external customers in all forms of communication.

Office Support & Communication

  • Office Space – Welcome visitors and employees, maintain cleanliness of office space, manage inventory, manage office/building access and badges, and coordinate with building management regarding a variety of facility related items (shipments / deliveries, office/building security, office vendor agreements, and maintenance requests, etc).

  • Reporting and Correspondence – Perform basic industry/company research, data entry to support accounting, upload materials to intranet site, and produce and proofread documents.

  • Schedule and setup conference rooms and offsite space, including coordinating audio visual support, and catering needs.

  • Assist with planning office events (happy hours, holiday and community events).

  • Assist with ad-hoc leadership and office requests.

Human Resources

  • Support Human Resources with local office needs.

  • Employee Information and Programs: Assist with managing employee records and programs, including the emergency response program, organization charts, personnel files, employment agreements, and orientation/onboarding.

  • Recognition: Track birthdays, anniversaries, and other employee milestones and take the appropriate action to ensure employees are recognized; Assist with planning promotion and appreciation efforts.

  • Technology: Participate in ongoing training regarding technology upgrades and new systems applicable to the position.

Your Educational and Professional Qualifications:

  • Degree: Bachelor’s degree, preferred

  • Experience: 2+ years of professional experience, required

  • Advanced skills in Microsoft applications (Word, Excel, PowerPoint, Outlook)
