The Opportunity The Front Office Coordinator role requires outstanding professionalism, discretion, organization, and attention to detail as well as the ability to multitask, take initiative and work independently on a wide variety of projects and tasks. The candidate must have excellent written and oral communication skills in order to professionally interact with parents, students, faculty, staff, and visitors The school seeks candidates who demonstrate a commitment to anti-bias and anti-racism work and to fostering a diverse and inclusive learning community that is responsive toward all differences including but not limited to race, ethnicity, national origin, geography, religion, gender identity, sexual orientation, age, physical ability, learning styles and marital, parental or economic status. This is a salaried, benefits-eligible position for the 2021-2022 school year that can be anywhere from .75-1.0 FTE (part time to full time) depending on the needs of the applicant. The workday would run until 5:00 PM and the start time would be dependent on whether the applicant works full or part time. The start date would be as soon as possible. Requirements Duties and Responsibilities Be a positive first point of contact for The Evergreen School Act as a central information desk for school Respond to requests of teachers, parents, staff, students, and visitors from the school front office Be totally familiar with full campus; uses school resources to identify the location of all teachers, classrooms, meeting rooms, etc. to direct visitors, subs, and parents Record and track employees when notified of the off-campus status Answer phone calls and transfer to appropriate parties Monitor daily attendance for students including late arrivals and early departures Greet visitors and maintain visitor station with name tags, sign-in book Maintain accurate, current information on all events at school to provide accurate information for interested parties Assist departments by distributing, collecting, and mailing various school-related materials Oversee mail sent and received: responsible for postage machine balance; assist with large mailings Make reservations for buses for class field trips and reserve motor coach when necessary for school events. Support field trips and camps procedures, including organizing forms for teachers and reviewing field trip drivers for insurance coverage and background checks. Schedule and organize School Photo Day. Support in the coordination and documentation of safety drills Act as the purchasing coordinator for school-wide supplies. Support the Summer Program as instructed by the Auxiliary Programs Director Provide coverage in the health office when the nurse/COVID Coordinator is unavailable. Keep a log of all injuries of students. Call parents/guardians when necessary. Request detail oriented aid in the event of an emergency. Secondary Responsibilities Provide administrative support to division levels during high activity times of year (school-wide events, conference days, report card production, etc). Support the Development Office's regular mailings. Coordinate the maintenance of, and updates to, bulletin boards and displays in common spaces.
