Robert Half Administrative Coordinator in Signal Hill, California

Description We are looking for an Administrative Coordinator to join our team in the construction industry based in Signal Hill, California. This role offers a contract to hire employment opportunity and involves supporting project management tasks, maintaining schedules, and overseeing documentation. You will be instrumental in ensuring project goals are met through diligent planning, coordination, and monitoring.

Responsibilities:

• Support operational team leaders in achieving scheduled goals through effective planning and coordination.

• Develop and maintain project schedules to ensure timely completion.

• Conduct regular reviews of project documentation and communicate results to appropriate personnel.

• Prepare status reports to update customers and management teams on project progress.

• Conduct audits of field paperwork to ensure accuracy and compliance.

• Monitor equipment and material tracking.

• Perform general administrative duties to support the team.

• Oversee safety protocols and ensure their implementation.

• Monitor ongoing jobs to ensure activity and compliance.

• Support the billing process to ensure timely billing and receivables. Requirements • Minimum of 2 years of experience in an Administrative Coordinator role, preferably within the construction or contractor industry

• Proficiency in ADP - Financial Services for managing financial tasks

• Experience in creating and managing Banner Ads for marketing purposes

• Familiarity with Cisco Webex Meetings for coordinating virtual meetings and conferences

• Proficiency in Concur for travel and expense management

• Experience with CRM systems for managing customer relationships and data

• Knowledge of About Time software for efficient time tracking and project management

• Experience in handling Answering Inbound Calls and providing customer service

• Familiarity with Budget Processes, including planning, tracking, and reporting

• Competence in Calendar Management for scheduling appointments, meetings, and deadlines

• Strong Communication skills for effectively interacting with team members, clients, and vendors.
