Job Summary

We are seeking a dedicated Health Information Medical (HIM) Records Technician in St Helena, California to ensure the efficient preparation, scanning, and management of medical records according to established guidelines and productivity standards. The role involves retrieving and filing paper records necessary for patient care and assisting with the release of information services. Additionally, this position includes interviewing mothers for birth certificate information and entering it into the electronic birth certificate system, as well as managing transcription queues and releases to PowerChart.

Job Requirements

Essential Functions

  • Retrieve and reconcile all medical records from nursing units, preparing them for efficient scanning.

  • Follow procedures for scanning documents, removing difficult-to-scan items, and checking patient records for poor quality. Notify nursing units of any missing records.

  • Interview mothers for birth certificate information and enter the information into the electronic birth certificate system.

  • Send completed birth certificates to the county, process fetal death certificates, respond to customer inquiries regarding certificates, and update the supervisor with relevant information.

  • Ensure scanning equipment is in optimal working condition.

  • Scan documents, review images, and verify their quality. Complete the scanning process and forward it to Quality Review.

  • File paper records and pull charts for patient care, ensuring they are tracked properly in chart tracking software.

  • Retrieve charts from permanent files and off-site storage, maintain a neat file room, and assist in the purging of records by the storage vendor.

  • Assist physicians with inquiries regarding chart deficiencies in accordance with pertinent rules.

  • Conduct chart audits, assist in deficiency analysis, resolve issues related to dictation, and respond to inquiries from users of the document imaging software and transcripts.

  • Perform other job-related duties as assigned.

    Requirements

Education and Work Experience:

  • High School Education/GED or equivalent:

  • 2-3 years of previous medical experience, at least 1 year of HIM related experience

Preferred

  • Associate’s/Technical Degree or equivalent combination of education/related experience:

Must have strong medical record skills, be a team player, and have good communication skills.
