Robert Half Administrative Assistant in Syracuse, New York

Description We are offering a contract to hire employment opportunity in Syracuse, New York, for an Administrative Assistant role. The selected candidate will be responsible for various administrative, clerical, and organizational tasks, aiming to ensure the efficiency and effectiveness of office operations.

Responsibilities:

• Manage incoming calls, handling inquiries, or directing them to the appropriate party.

• Maintain clean and organized reception areas, conference rooms, and kitchen areas.

• Ensure all copiers are filled with paper at the end of each day.

• Communicate effectively with current and potential clients over the telephone, through electronic communications, and in person.

• Monitor the availability of the conference room schedule to avoid conflicts.

• Ensure that each conference room is clean and tidy for the next meeting after its use.

• Hold and maintain any documents needed for upcoming appointments.

• Manage daily mailing tasks including collecting, scanning, uploading, and distributing mail to the appropriate recipients in a timely manner.

• Handle miscellaneous printing and copying tasks.

• Collect and provide receipts for any cash or check payments being dropped off at the front desk.

• Compile lists of needed supplies and order upon approval.

• Use Microsoft Excel, Outlook, Word, and PowerPoint to perform necessary tasks.

• Schedule appointments and manage calendars for the legal and sales department.

• Handle filing and management of confidential correspondence. Requirements • Must have a minimum of 1 year of experience in an administrative role

• Proficiency in Microsoft Office Suite applications including Microsoft Word, Excel, PowerPoint, and Outlook

• Experience with data entry and managing electronic filing systems

• Skilled at scheduling appointments and maintaining calendars

• Ability to handle confidential correspondence with discretion

• Proven experience in customer service, including answering inbound and making outbound calls

• Comfortable with email correspondence and professional communication

• Ability to multitask and prioritize tasks in a fast-paced environment

• Excellent organizational skills and attention to detail

• Strong interpersonal skills and ability to work well in a team environment

• High school diploma or equivalent educational qualification is required.
