Robert Half Tax Administrative Assistant in Syracuse, New York

Description We are offering an opportunity in our CPA Firm based in Syracuse, New York, for an Administrative Assistant. This role will primarily focus on supporting Partners and professional staff with administrative needs, preparing and processing various documents, and performing clerical duties.

Responsibilities:

• Provide comprehensive support to Partners and professional staff in areas such as monthly billing and accounts receivable monitoring

• Manage and maintain calendars for assigned Partners

• Assist in the preparation, proofreading, and editing of documents including correspondence, financial statements, proposals, and email blasts

• Facilitate in the preparation and processing of tax returns complying with Firm quality control procedures and systems

• Develop and maintain technological skills required to support Partners and professional staff

• Perform rotating clerical duties including answering phones, receiving, sorting, and distributing mail, and maintaining office supplies

• Serve as backup to other administrative assistants and reception as needed

• Handle data entry tasks and manage inbound and outbound calls

• Schedule appointments and manage Microsoft Office Suite tasks including Word, Excel, Outlook, and PowerPoint

• Ensure accurate and timely monthly billing and manage accounts receivable. Requirements • Possess at least one year of relevant experience in an administrative role, preferably within a CPA firm or similar environment

• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint

• Ability to handle both inbound and outbound calls efficiently and professionally

• Excellent customer service skills with a strong focus on client satisfaction

• Experience with data entry tasks, ensuring accuracy and attention to detail

• Ability to manage email correspondence effectively, responding to queries in a timely manner

• Experience in scheduling appointments and managing calendars

• Familiarity with accounts receivable (AR) and monthly billing processes

• Strong proofreading skills to ensure all communications are error-free

• Ability to multitask, prioritize, and manage time efficiently.
