Robert Half Office Manager in Tempe, Arizona

Description We are seeking an Executive Assistant to join our team in Tempe, Arizona. In this role, you will be responsible for a wide range of administrative tasks, including managing communications, scheduling, and maintaining office efficiency. You will also be responsible for coordinating various office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, front desk management, coordinating meetings, and managing office supplies.

Responsibilities:

• Manage communications, including taking calls, responding to emails, and interfacing with clients

• Coordinate and schedule appointments, meetings, and events

• Maintain and manage office supplies inventory

• Assist in planning and organizing company events, meetings, and employee team building activities or special projects

• Handle incoming and outgoing mail

• Maintain cleanliness and orderliness of the office area

• Coordinate building and maintenance issues for general repair and updates

• Assist in the preparation of regularly scheduled reports

• Develop and maintain a filing system, including digital records and physical files

• Maintain contact lists and assist with the production of communication materials

• Support staff in assigned project-based work, including coordinating with external contractors or vendors

• Manage executive's calendars and set up meetings, including organizing travel and accommodations

The ability to use MS Excel and initiate and execute projects will be central to this role. Requirements • Minimum of 5 years of experience in an Executive Assistant role or similar position

• Proficiency in Microsoft Excel, including features such as pivot tables, vlookups, and macros

• Demonstrated experience in project initiation and execution

• Ability to manage and prioritize multiple tasks in a fast-paced environment

• Exceptional written and verbal communication skills

• Proven ability to handle confidential information with discretion

• Strong organizational skills with an eye for detail

• Demonstrable ability to meet deadlines

• Experience in assisting with the preparation of presentations and reports

• Ability to work independently and as part of a team

• Flexibility to work overtime if necessary

• High school diploma or equivalent required, higher education or certifications are a plus
