Robert Half Real Estate Services Administrator in Toms River, New Jersey

Description We are looking to permanent a Real Estate Services Administrator to join our team based in Toms River, New Jersey. In this role, you will be responsible for supporting the administrative needs of our commercial property management team. This includes tasks such as processing work orders, managing invoices and purchase orders, and updating trackers for the team.

Responsibilities:

• Enter and close out work orders in the work order system accurately and efficiently

• Handle invoicing tasks and process purchase orders as required

• Update trackers for the team to ensure all tasks are accounted for and progress is tracked

• Assist with payroll duties as needed, ensuring all team members are paid accurately and on time

• Order supplies to ensure the smooth running of the office and property management tasks

• Answer general phone calls, providing excellent customer service and directing queries to the appropriate team members

• Utilize Microsoft Office Suite and other systems for administrative tasks

• Apply strong tech skills to quickly learn and adapt to new platforms

• Ensure attention to detail in all tasks, maintaining high standards of accuracy

• Leverage strong administrative skills to support the efficient operation of the team. Requirements • Demonstrated proficiency in customer service

• Proven ability to conduct training sessions

• Familiarity with standard office procedures

• Experience in handling Accounts Payable (AP) and Accounts Receivable (AR)

• Knowledge of payroll processing and invoice management

• Competency in scheduling and calendar management

• Understanding of insurance policies and processes

• Experience in supervising staff

• Knowledge of 'About Time' software

• Proficiency in providing workstation support

• Excellent phone presence and communication skills

• Experience working with vendors and onboarding new employees

• Familiarity with collection processes and business correspondence

• Ability to perform ad hoc financial tasks as required

• Experience in real estate property management

• Proficiency in expense reporting and filing

• Familiarity with handling property-related tasks and purchase orders

• Knowledge of real estate industry norms and practices.
