Robert Half Executive Assistant in Troy, Virginia

Description We are offering a contract for a permanent position as an Executive Assistant in Troy, Virginia. This role predominantly supports the CEO and other executive staff, with a variety of responsibilities that span across asset management, insurance audits, document and archive management, and office management. The Executive Assistant will also play a key role in supporting operational growth through research, market analysis, and project development.

Responsibilities:

• Manage and maintain assets, including vehicle registrations, title management, and bills of sale

• Conduct insurance audits to ensure all vehicles and equipment are on current policies

• Handle company phones, tablets, and computers, ensuring they are in working order

• Assist in the sale and trade-in of equipment as needed

• Manage regulatory compliance, maintain a calendar for all reporting requirements and their deadlines

• Archive and manage documents, ensuring they are readily accessible and disposed of when required

• Complete forms and credit applications as needed

• Assist in the research and development of new products and markets to facilitate growth

• Support the grant application process to aid in company growth

• Assist in the development of marketing plans to increase company value and positive community impact

• Support project development, particularly in regards to regulatory compliance and permitting

• Assist in the production of the company newsletter and ensure deadlines are met

• Facilitate employee functions and team development initiatives

• Handle office management tasks, including supply procurement and general organizational needs. Requirements • Exceptional skills in ADP - Financial Services

• Proficiency in using Cisco Webex Meetings for virtual collaboration

• Experience with Concur expense management system

• Demonstrated expertise in using CRM software for customer relationship management

• Proficiency in Kronos Timekeeping System for efficient time management

• Experience with About Time software for effective project management

• Excellent skills in Calendar Management to organize and schedule appointments

• Strong Communication skills for effective liaison with internal and external stakeholders

• Expertise in handling Conference Calls and ensuring seamless communication

• Ability to manage Correspondence professionally and timely.
