Robert Half Administrative Assistant in Tulsa, Oklahoma

Description We are offering a contract to hire employment opportunity for an Administrative Assistant role in the Legal industry. This position is based in Tulsa, Oklahoma, 74133, United States, and involves managing and directing all front desk duties for a high-volume law firm that works primarily with disabled individuals seeking Social Security Disability. The role involves handling highly sensitive and confidential material, including medical records, and providing administrative support to case managers and attorneys, some of whom are working remotely. The goal of this role is to ensure the office runs smoothly and efficiently.

Responsibilities:

• Manage and direct incoming phone calls in a professional manner

• Greet and assist office visitors with a courteous approach

• Utilize software to input data swiftly and accurately into the network

• Process incoming mail by scanning, naming, and importing into the system

• Prepare and send out daily mailouts created by attorneys and case managers

• Respond to daily mail by sending out appropriate letters

• Mail out daily attorney representative forms to new clients

• Handle daily and monthly expense invoices and monthly collection letters

• Take invoice payments over the phone from clients

• Order and maintain all supplies used in the office, and kitchen area

• Utilize computer skills to maintain a paperless office environment

• Provide customer service or front desk experience for administrative jobs

• Showcase strong typing skills for data entry into the database

• Use various software including MS Word, Adobe Acrobat Pro, and others for tracking and filing of information

• Answer inbound calls, manage customer service, data entry, email correspondence, and schedule appointments. Requirements • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook

• Experience with data entry and maintaining accurate records

• Ability to handle inbound and outbound calls professionally

• Excellent customer service skills, with a focus on resolving issues efficiently

• Familiarity with scheduling appointments and managing calendars

• Strong skills in email correspondence, with an emphasis on clarity and timeliness

• Ability to multitask and prioritize in a fast-paced legal environment

• Strong attention to detail and organizational skills

• Familiarity with legal terminology and procedures is a plus

• Excellent verbal and written communication skills

• Ability to maintain confidentiality of sensitive information

• Demonstrated ability to work independently and as part of a team
