Vocational and Health Consultants in Walnut Creek are looking for an onsite Transcriptionist/Administrative Assistant

The Transcriptionist/Administrative Assistant performs job duties such as:

  • Scans records, transcribes reports, record reviews, letters, journal articles, and other documents using company format in a timely manner, while being aware of deadlines. Some reports can be 40-150 pages long.

  • Names and saves documents correctly.

  • May type letters, reports, flyers and other documents from copy.

  • May create PowerPoint presentations and Excel spreadsheets.

  • Confirms spelling, medications, etc.

  • After review, corrects document and prints draft or final version, asrequired.

  • Uses the scanner expertly to create record reviews and checks for common scanning errors.

  • Provide backup for Administrative Assistant.

General Office Practices

  • Reception: Under general supervision, greets visitors, answers phones, takes messages, transfers calls, schedules and confirms appointments and all activities related to the calendar, actively assists referrals into the office, promotes business by providing relevant information to callers about services, while understanding the need for confidentiality, mails information or takes information for next action. The purpose is to ensure the workflow in the office is smooth and workable.

  • Record keeping: Enters or checks the daily time sheets into the time and billing system.


  • Must have excellent verbal and written communication skills.

  • Previous experience proofing, editing and formatting documents.

  • Advanced MS Word Intermediate Excel and PowerPoint

  • Type at least 50 WPM
