Description
Robert Half's client in Pleasant Hill is seeking a part-time front office administrative assistant. This is a contract-to-permanent position. The specific days/hours are flexible with an expected 15-25 hours per week.
Administrative Assistant duties include:
• Be the first point of contact for clients and potential clients.
• Understand and communicate client needs to Executive Director.
• Follow up on phone messages and website inquiries daily.
• Help clients set up appointments.
• Keep track of new contact information and update it in our system.
• Manage the calendars for Fiduciary Officers and Executive Director.
• Prepare for meetings and assist with tasks that follow the meetings.
• Assist with events, emails, social media, and community outreach.
• Update our website, blog, and other online content.
• Maintain marketing files and keep workspace tidy.
• Do some basic accounting.
• Organize files and keep track of mail.
• Pick up and sort mail, highlighting important items for higher-ups.
• Work on tasks assigned by the Executive Director to expand your knowledge.
• Stick to a regular work schedule, with potential for more hours as needed.
• Work mainly in Pleasant Hill, with some potential travel for events or client visits.
• Drive safely with a valid driver's license and your own car insurance.

Requirements • Proficiency in Microsoft Excel is a must
• Proven administrative or assistant experience
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• High school diploma or equivalent; college degree preferred
• Ability to work on a team
• Ability to handle confidential information
• Strong customer service skills
• Demonstrated ability to manage complex tasks and prioritize competing demands in order to meet deadlines.
