Robert Half International Executive Assistant in Walnut Creek, California
Executive Assistant position available for a client in Walnut Creek. This position will be 30- 40 hours a week, mostly ONSITE.
This Executive Assistant position responsibilities: - File Management (physical and electronic) - Schedule internal and external meetings (remote or in person) - Website updates for housing and sustainability pages - Assist with data for annual Housing Reports (HE APR, DOF Survey) - Outreach, resources and referrals, creating and editing brochure materials - processing invoices - Review and track insurance requirements for contracts - Scanning documents - Zoom operation and administration support for the Walnut Creek Homeless Taskforce - Maintain the housing interest list and stakeholder policy interest list - Assist with Housing Program materials - Assist with noticing for annual monitoring, and reviewing reports for compliance. - Notetaking for meetings - Outreach support for sustainability, including setting up surveys. - Drafting minutes for Planning Commission and Design Review Commission - Generate reports for Acella - Event planning for forums, celebrations, etc. - Resource and referral services by phone on affordable housing and sustainability programs. - Assisting with purging files and setting up new file folders for grant programs. - Other administrative tasks as needed.

Requirements - Familiarity with using the internet for research tasks
Elevated social skills, project coordination experience and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
Adeptness in switchboard phones from 1-10 lines
Earlier work involving internet
Foundational knowledge in records maintenance
Correspondence and drafting experience
Good understanding of Microsoft Excel
Experience with presentation preparation
Demonstrated knowledge of Microsoft PowerPoint
Conference room setup & cleanup experience desired
General familiarity with meeting coordination and planning
Office supply and equipment ordering experience highly preferred
Filing experience preferred
Typing under 45 words per minute experience highly valued
Background working with copying
Previous experience working with expense reports
Strong familiarity with email
Prior experience with report generation
Comprehension of Microsoft Outlook
Experience with mail processing
Knowledge of Microsoft Word
Hands-on experience with calendar managements and scheduling appointments
Practical knowledge of customer service .
