Robert Half Project Coordinator in Walnut Creek, California

Description

Walnut Creek construction client is seeking a reliable and detail-oriented Project Coordinator to join our team. The chosen candidate will be assisting in project management tasks, ranging from making submittals and processing change orders to tracking the progress of our construction projects. The schedule is Monday-Friday from 7:30am-4:30pm

Key Project Coordinator Responsibilities:

  • Assisting project managers with tasks such as submittals and change orders to ensure project progression aligns with set timelines.

  • Updating and maintaining client records accurately.

  • Overseeing document control and ensuring all necessary documents are in order and easily accessible.

  • Managing and updating spreadsheets in Excel to accurately track project details and progress.

  • Creating comprehensive agendas for weekly meetings and coordinating with the necessary personnel to ensure productive meetings.

  • Taking accurate minutes during meetings and distributing them to relevant team members.

  • Tracking project progress continually, identifying any potential or emerging issues and addressing them promptly.

  • Handling reception duties, such as answering phones and responding to inquiries.

  • Ordering, stocking and maintaining office supplies inventory.

We are looking for someone who thrives in fast-paced environments, manages their time efficiently, and has excellent communication and organizational skills. Prior experience in a project coordination role within the construction industry is highly desirable.

Requirements

• Demonstrated proficiency in Microsoft Office Suite, including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Strong customer service skills with the ability to build and maintain relationships

• Experience in managing timelines and meeting deadlines

• Organized with the ability to manage and maintain files and records

• Skilled in scanning documents and maintaining digital records

• Ability to multitask and prioritize tasks in a fast-paced environment

• Excellent verbal and written communication skills

• Proactive and self-motivated with the ability to work independently as well as part of a team.
