Robert Half Senior Facilities Manager in WASHINGTON, District Of Columbia


The ideal candidate will be an ambitious and driven self-starter who can juggle multiple priorities, manage a team, and coordinate with the organization’s senior leadership effectively. A successful candidate will have excellent project and time management skills, strong knowledge of general operations management and a leadership mindset.


Manage day-to-day administration while ensuring cost control on regular expenses such as:

• Maintenance related expenses

• Stationary

• Rentals

• Communications equipment

• Guest house management

• Ensure implementation of the contract negotiated with service providers

• Knowledge about ISO Audits 9k and 45 K/ PCMM

• Property selection in accordance with VFS checklists and coordinate for tender documents for refurbishment

• Complete execution of Refurbishment Projects

• Knowledge about Agreements (Lease and Service) to coordinate drafting with various stakeholders

• Ability to build relationships and interact with various external Government officials, key vendors, insurance companies, and service providers along with internal department heads within finance and operations

• Maintain records of telephone, mobile, electricity, ACs and other vendor bills etc. to ensure timely payment of bills after seeking approvals.

• Process bills to accounts for payments and maintain receipts of invoices. Ensure filing of claims and recovery.

• Ensure compliance with ISO 14001 and maintain premises to preserve the environment by effectively managing power, AC systems, generators, and amenities like water, etc.

• Ensure timely renewal of maintenance contracts

• Responsible for handover of premises on expiry of lease and takeover of premise. Obtain clearance certificates at time of handover

• Handling petty cash – Managing day-to-day requirements for petty cash by preparing vouchers and making reports for payments to cellular service providers, entertainment facilities providers and other vendors.

• Ensure compliance with VFS’ Global’s information security policies and procedures

• Respond to inquiries & troubleshooting and ensure internal customer satisfaction of all stakeholders

· Bachelor’s degree in Business or related field preferred

· 8+ years’ experience with office, operations, or property management

· Strong motivation and inclination for oversight

· Strong knowledge of team and operations management

· Strategic planning abilities and the ability to innovate and enhance policies and procedures

· Willingness to travel within and outside the United States on occasion
