Description

We are looking for a skilled Department Secretary to join our team in the healthcare and social assistance industry, based in West Haven, Connecticut, United States. As a Department Secretary, you will play a crucial role in managing the day-to-day operations, maintaining files, distributing mail, and supporting the coordinator in related physician and office staff activities. This role offers a long-term contract employment opportunity.

Responsibilities:

• Process and submit routine correspondence, memos, reports, and various forms accurately and efficiently.

• Maintain departmental record-keeping and filing systems, including records related to personnel, payroll, attendance, work, and purchase orders.

• Act as a receptionist for the department, using discretion and judgement when screening visitors and telephone calls.

• Efficiently maintain the department calendar and schedule appointments in accordance with established department procedures.

• Support in the day-to-day operations of the Physician Referral program.

• Ensure the organization's work load is organized to meet established priorities.

• Handle department procedures, including distributing incoming mail and maintaining files.

• Utilize Microsoft Excel, Microsoft Word, Microsoft PowerPoint, and Windows OS for various tasks.

• Employ strong organizational skills to manage multiple tasks and deadlines.

• Ensure all written communication, including correspondence and reports, is free of grammatical or spelling errors.

Requirements • Proficiency in Microsoft Office Suite including Microsoft Word, Excel, and PowerPoint

• Experience with Windows OS and various file systems

• Strong organizational skills and ability to manage multiple tasks simultaneously

• Familiarity with payroll operations and procedures

• Ability to schedule appointments and manage calendars effectively

• Experience conducting routine correspondence and other secretarial functions

• Proficient in typing with a good speed (mention of WPM not necessary)

• Ability to distribute incoming mail and maintain files systematically

• Knowledge of medical coverage procedures related to healthcare industry

• Previous experience with receptionist duties, including handling phone calls and visitors

• Familiarity with purchase orders and department procedures

• Good spelling and grammar skills for drafting and editing correspondence

• Ability to perform corporate secretarial functions and manage department procedures

• Previous experience in the Healthcare, Hospitals, or Social Assistance industry is preferred.
