Robert Half Accounts Payable Specialist in West Palm Beach, Florida

Description Position Overview:

The Accounts Payable Specialist will be responsible for managing the day-to-day accounts payable functions for our family office. This individual will handle a wide range of tasks, including invoice processing, vendor management, expense tracking, and reconciliation. The AP Specialist will work closely with internal stakeholders and external vendors to ensure timely and accurate payment processing while adhering to company policies and procedures.

Key Responsibilities:

Invoice Processing: Receive, review, and process invoices in a timely and accurate manner. Verify invoice details, including amounts, terms, and supporting documentation.

Vendor Management: Maintain vendor records, including contact information, payment terms, and tax documentation. Communicate with vendors to resolve billing discrepancies and inquiries.

Payment Processing: Prepare and process payments, including checks, electronic transfers, and ACH transactions. Ensure payments are processed according to established timelines and in compliance with company policies.

Expense Tracking: Monitor and track expenses to ensure accurate recording and reporting. Reconcile accounts payable transactions and resolve any discrepancies in a timely manner.

Financial Reporting: Assist with the preparation of accounts payable reports and analysis as needed. Provide support for month-end and year-end closing processes.

Confidentiality: Handle sensitive financial information with the highest level of confidentiality and discretion. Ensure compliance with data privacy regulations and internal security protocols.

Process Improvement: Identify opportunities to streamline accounts payable processes and improve efficiency. Collaborate with cross-functional teams to implement best practices and automation solutions.

Qualifications:

Minimum of 2-3 years of experience in accounts payable or similar role.

Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle) and Microsoft Excel.

Strong attention to detail and accuracy in data entry and reconciliation.

Excellent communication and interpersonal skills, with the ability to interact professionally with internal and external stakeholders.

Proven ability to handle confidential information with discretion and integrity.

Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.

Knowledge of relevant accounting principles and regulations.

Certification such as Certified Accounts Payable Associate (CAPA) is a plus.
