Robert Half Executive Assistant in Westmont, Illinois

Description We are offering a contract to hire employment opportunity for an Executive Assistant in the Healthcare/NHS industry, located in Westmont, Illinois. This role primarily involves providing administrative and personal support, managing household operations, and handling executive tasks.

Responsibilities:

• Manage digital and hard copies of files, data, and contacts for household operations.

• Collaborate on schedule and calendar appointments.

• Handle product research, personal shopping, and returns.

• Proactively manage prescriptions and supplements, including inventory, ordering, and pickups.

• Manage calendars for guest and cleaning services for other properties.

• Review and organize vendor proposals and invoicing for approval.

• Update and maintain household operations procedural documentation.

• Manage day-to-day tasks of the Housekeeper, ensuring cleaning protocols are followed and providing backup coverage when needed.

• Work with the Housekeeper on managing clothing needs, including dry cleaning, packing for trips, unpacking, and seasonal closet rotations.

• Manage personal and household inventories and purchase items when needed.

• Facilitate the maintenance of the primary residence's mechanical systems and vehicles.

• Purchase, arrange, and care for interior floral arrangements and plants.

• Work with Partner on technology needs.

• Assist with yearly/seasonal projects at residences.

• Handle personal shopping and any returns.

• Prepare occasional, simple meals and manage produce when the Housekeeper is not available.

• Answer phone and door courteously.

• Collaborate and coordinate for visit prep, maintenance, and special projects for out-of-state residences.

• Proficient in Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Calendar Management, Correspondence, C-Suite, Documentation, Business proposals, and High-Volume Invoicing. Requirements • Proficient in Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

• Familiarity with high-volume invoicing and documentation

• Experience in managing calendars and correspondence

• Ability to support C-suite executives effectively

• Skilled in creating and managing business proposals

• Previous experience in the healthcare or NHS sector is preferred

• Strong organizational and multitasking abilities

• Excellent verbal and written communication skills

• Ability to handle sensitive information with the highest degree of integrity and confidentiality

• Demonstrated ability to work effectively both independently and as part of a team

• Proven problem-solving skills and the ability to handle pressure in a fast-paced environment.
