Robert Half Fleet Coordinator in Williamsville, New York
Description We are offering a contract to hire employment opportunity for a Fleet Coordinator in the Non-Profit industry, based in WILLIAMSVILLE, New York. The Fleet Coordinator will play a pivotal role in assisting with fleet management, maintaining agency accounts, and dealing with internal and external parties.
Responsibilities:
• Assist with the management of the fleet, including updating vehicle registrations and insurance.
• Maintain and manage the agency's fleet fuel and maintenance accounts, ensuring effective communication to sites and tracking completion regarding preventative vehicle maintenance and vehicle recalls.
• Regularly update the agency's fleet database as part of the job function.
• Manage motor vehicle accident claims and repairs with internal and external parties.
• Report accidents to both internal and external parties, ensuring timely and accurate reporting.
• Assist in monitoring vendor performance, negotiating pricing and soliciting RFQ’s.
• Perform data entry and management tasks, ensuring accurate and up-to-date records.
• Comply with all agency policies and procedures as part of the job function.
• Handle other duties as assigned, including but not limited to administrative and purchasing tasks.
• Utilize skills in Account Reconciliation, Accounts Receivable (AR), Billing, Cash Applications, and SAP to perform job duties effectively. Requirements • Proficiency in Account Reconciliation is a must.
• Experience with Accounts Receivable (AR) is required.
• Demonstrated expertise in Billing procedures.
• Familiarity with Cash Applications is necessary.
• Practical knowledge of SAP is essential.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal abilities.
• Proven ability to work as part of a team.
• Ability to problem-solve and work under pressure.
• Prior experience in a similar role within the Non-Profit sector is preferred.
• High level of professionalism and ethical standards.
• Proficiency in Microsoft Office Suite, particularly Excel and Word.
• Exceptional attention to detail and accuracy.
• Strong ability to manage time and prioritize tasks efficiently.
• Ability to adhere to strict deadlines.
• Capable of maintaining confidentiality and handling sensitive information.
• Bachelor's Degree in related field is preferred.
• Proven ability to manage and maintain a fleet of vehicles is desirable.
